    Captions and Cross References (Word 2000)

    I have a document which has many figures and tables with captions and cross references. This document was protected for track changes and many changes made (but not to the captions or cross references). After the changes were made, it was noticed that the captions were in odd numbers only, ie Figure 2-1, Figure 2-3, Figure 2-5 etc etc. Is there any way quick way of resetting these captions please, without having to accept all changes?? Any help would be appreciated.

    I can't reproduce the problem. Could you attach a small sample document? Remove sensitive information.

    The whole document is 23.6 MB and is full of figures and captions. I have cut everything out until I have only one example page left in the document . I have deleted all the figures (captions and cross references remain) but I still can't get the file under 100k max. It currently stands at 395k. Even zipped it comes out at 165k. Any suggestions?

    What happens if you copy everything except the final paragraph mark from the stripped down document into a blank new document?

    I did that and it still didn't take it down that much more, but when I set the computer so that it showed all the changes that had been made, there was a figure lurking in there somewhere, so I have now deleted it and I attach the file hereto (I hope!). I hope it is indicative of the problem as I have now cut so much out, it may not replicate it!

    Word somehow thinks that the captions have been deleted and reinserted. I think you'll have to
    - Turn off protection.
    - Turn off track changes.
    - Either remove the inserted caption numbers, or the deleted caption numbers.
    - Select the document (Ctrl+A) and update fields (F9)
    - Protect the document for tracked changes again.

    This always happens to any fields in the document which are updated when the document is tracking revisions. For this reason you should always turn off tracked revisions before updating any fields (especially TOCs)

    Yes, I am aware of this, but none of the 'fields' were changed by us, they automatically updated when the document was saved and then opened again. When opening a document with fields, Word seems to check all the cross references, crosses them out and puts them back in again, which is where the problem arises as it then counts all the crossed out numbers in the captions as well - hence the odd-numbered captions only in the printed document.

    Thanks Hans - it was rather tedious as there are hundreds of figures - but it definitely worked! Many thanks.
