    How to suppress duplicate field data in mail merge (2003 SP2)

    Hi everyone

    Great site! I hope you can help me too!

    I preparing a directory mail merge (Word 2003) using an Access 2003 database as my record source. My directory lists various offices around the world, of which more than one can be in a country. I want to create a mail merge that lists all of the locations in a country, but without repeating the country name each time. Each record in my database contains a country and location name. For example, my mail merge looks like this:
    AUSTRALIA
    Brisbane
    AUSTRALIA
    Perth
    AUSTRALIA
    Sydney

    I want my directory to instead look like this:
    AUSTRALIA
    Brisbane
    Perth
    Sydney

    How can I suppress the reappearance of the country name if it duplicates the previous record? Any help would be appreciated! Thanks!

    I never do this myself, but I do remember some threads on "parent-child" merges (in one case, literally involving letters to parents with a variable number of children <img src=/S/grin.gif border=0 alt=grin width=15 height=15> ). If you don't get any suggestions right away, you could try searching for those threads. The wizards have changed over the years, but the basic idea for conditional merges probably is the same. <img src=/S/crossfingers.gif border=0 alt=crossfingers width=17 height=16>
