    Insert address from Contacts List (XP Professional, SP2)

    Hi guys - new user here, so please be patient!! When I insert an address into a letter, using the contacts list drop-down box, the company name does not appear, but the word "Australia" always appears. Can anyone please tell me (in the most basic plain english wording available - assume I know nothing about word processing is the safest way) how to find and change the default so that the company name, Attention: person name, and business address appears. And how to get rid of the country name. The Microsoft help page is not very helpful. Thanks very much in advance.

    Welcome to Woody's Lounge!

    Is this a question about Microsoft Word?

    Good morning Hans,

    Yes, it is about Microsoft word. Apologies! I might take a while to get the wording correct.

    Re: Insert address from Contacts List (XP Professional, SP2)

    The layout of an address entry can be changed by creating an AutoText entry named AddressLayout. This entry must have a very specific format. You can use up to 12 fields, each surrounded by {< and >}. For example:

    {<PR_GIVEN_NAME>} {<PR_SURNAME>}
    {<PR_COMPANY_NAME>}
    {<PR_STREET_ADDRESS>}
    {<PR_LOCALITY>}, {<PR_STATE_OR_PROVINCE>}

    A complete list of fields you can use is given in MSKB article HOW TO: Modify the Layout of an Address Book Entry in Word 2000 (applies to Word 2002 and 2003 too)

    To create the AutoText entry:
    - Type the entry in a document.
    - Select it.
    - Press Alt+F3.
    - Type AddressLayout in the name box.
    - Click OK.

    Word should immediately start using the new layout when you insert an address.

    Thankyou Hans.
    Brilliant - I knew it would be simple, and once I had the technospeak wording correct, works like a dream.
