Which email account to send files? (2000)

I was wondering how to determine which email account is used when sending a file from within an Office application.

The specifics are: I have an Excel spreadsheet that needs to be emailed to someone outside of the organisation at the end of every day. The person responsible for the data in the spreadsheet, makes the changes and then clicks on the 'email to' icon on the toolbar. They select the recipient and then say send. My is that the email account used is not the same as the default email account set up in Outlook. In fact, in Outlook, there is only one account.

The details for the 'phantom' account are correct for a subsidary of the company and for a different location. eg the mail server says mail.subsidary.com.au instead of mail.mycompany.com.au.

So where would Excel be getting this information from?

By any chance, does the individual have more than one profile in Outlook?

To check, right-click on the Outlook icon on desktop and choose Properties, then select Show Profiles... there should only be one profile (unless there is a business reason the person includes another - needs to access another mailbox).

    Just a thought... trish

    Good thought, Trish.

But there is no option to see profiles when I right click. I even went to the mail icon in Control Panel

Ooops... guess I should look at the version... in Outlook 2000, if I remember correctly, Profiles live under Tools, Services or you should see the Show Profiles on the Services Tab http://support.microsoft.com/kb/195718/en-us . If not, maybe this is wherein the problem lies... try creating a profile for the individual... who knows!!

    Hope this helps!!

I think you can only create profiles if you run Outlook 2000 in "CW" -- Corporate/Workgroup -- mode. If you run in "IMO" -- Internet Mail Only -- then your account choices are similar to those in Outlook Express. Don't give up IMO if you use any IMAP accounts; CW doesn't support them.

This schizophrenia was straightened out in Outlook 2002.

Has the PC ever been used by a user working for the subsidiary?
Is Outlook the default email program in IE > Tools > Options > Programs?
Has there ever been an (alternative) profile set up in OE, or other email client?
Is the 'Email to' icon a genuine command, and not linked to a macro? (Try running it from File > Send to...)
Otherwise, you could try running a search in the registry for occurrences of <code>'mail.subsidary.com.au'</code>.

Re: Which email account to send files? (2000)

    Hi,

Finally got back to this one and thought I would share my findings

The toolbar icon for sending the file was directly connected to Outlook Express. And yes, Outlook Express was configured for the subsidary mail setup (goodness knows why!) A search of the registry found that - thanks Leif.

So deleting the settings in the registry meant that using that toolbar icon again involved setting up the email account, but kept defaulting to OE. I uninstalled OE and now that toolbar icon has gone.

So now if I try to send the file via File| Send to| it tells me that I need to restart OUtlook and set it as my default email program. With OE no longer there, I would have thought that Outlook is the logical default. Office programs do not recognise this.

So how can I set Outlook as my default? Or do I need to reinstall OE and then run Outlook to tell it that it can be boss?

Try Leif's suggestion: set Outlook as default e-mail program in the Programs tab of Tools | Internet Option in Internet Explorer.
