    Lining up the numbers in a Table of Contents (Word 97)

    Following my post asking <A target="_blank" HREF=http://www.wopr.com/cgi-bin/w3t/showthreaded.pl?Cat=&Board=wrd&Number=19287&page=& view=&sb=&o=&vc=1#Post19287> how to line up numbers in numbered lists</A>, I wonder if I can ask the same question about the Table of Contents fields. Is the only way to ensure that the Heading1 lines which usually go to make it up have a space preceding numbers less than 10 (and if so, how can I achieve this?). Thanks!

    To explain slightly further, what I'm trying to get in my Table of Contents is:<pre> 1. Chapter One
    ...
    8. Chapter Eight
    9. Chapter Nine
    10. Chapter Ten
    11. Chapter Eleven
    etc</pre>

    not:<pre>1. Chapter One
    ...
    8. Chapter Eight
    9. Chapter Nine
    10. Chapter Ten
    11. Chapter Eleven
    etc</pre>

    if you notice the subtle difference!

    Maybe I'm too close to the trees to see the forest, but can't you just put a right align tab at the appropriate spot to align those numbers?

    Where might the appropriate spot be? I'm presuming that the Heading1 numbers have been generated automatically, and then grabbed for use in the Table of Contents...

    John,

    You can do this by setting the definition of the TOC1 style to include the appropriate tabs.

    I'm working in Word 2000, so am not sure whether this applies exactly to Word 97 as well, but probably does: once you set the tab for the number though, you also have to set a tab for the page number as well.

    Before you generate the table of contents, go to Format > Style, and modify the definition of the TOC1 style - specifically, go to the Tabs dialog.
    Set one tab to align the text after the autonumber - for example, you could set a left-align tab at .5 inch.
    Then set a second tab to create the leaders - for example, a right-align tab set at 6 inches, and set to produce leader dots.

    Then generate the table of contents and everything should line up fine. I do notice that in Word 2000 it behaves differently than I recall in Word 97, in that it seems to add a "phantom tab" that may throw off the proper alignment, after the table of contents is generated.
    If this happens, select the entire table of contents, then go to Format > Style, select the TOC1 style and just Apply.

    I don't recall the above problem occurring in Word 97, so hopefully you won't see it. But if you do, you could also probably record a macro that would take care of doing these extra formatting steps for you.

    Gary, I have just got round to trying your suggestion, which reminded me how to find how to set up the 'dot leader' to fill the gap between the end of each Heading1 and the page number at the right of the page.

    However, I can't get the right-justification of the 'chapter number' to work because, although there are three tabs values set for the TOC1 style (and I've changed the first two to be 1" and 2", for visibility) , there only appears to be one tab character present in each table-of-contents line, as in
    "3 Chapter3 tab pageno"
    Even setting the magnification to 500% doesn't reveal the presence of any tab character before "3" or before "Chapter3".

    Am I missing something obvious?

    It would have to be in the document to be copied into the TOC. How are you separating the numbers from the text in the document?

    The Header1 headings are automatically numbered 1, 2, 3, etc, and thus you cannot move the cursor in front of the Chapter3 (in my example). There is no sign of a tab character either before or after the number that is assigned.

    Perhaps I need to investigate for each Heading1 how I can get a tab character preceding and following the automatically-generated 'chapter' number? This will presumably carry over exactly to the Table of Contents.

    John,

    With your cursor inside a paragraph that has the Heading1 style applied, click on Format > Bullets & Numbering > Customize.
    If the button under OK and Cancel says "More", click on it to expand the dialog.
    Look for the place where you can change the setting for "Follow number with:", and change this to Tab Character is it isn't set to that already.

    Thanks very much, Gary - that change inserts a tab between the number and the 'chapter' word in the Heading1, exactly as you said.

    I tried also changing Number position to Right (from Left) and Aligned at 0.3". This has the effect of moving the automatically-generated number from the left marginin each Heading1 line, but this does not appear to be carried through to the Table of Contents, where the initial numbers are still all left-aligned, even after the usual Update Table of Contents/Update entire table. Any further thoughts on this?

    Yes, a couple:

    What little experience I've had with right aligning numbers has indicated that they do work, but tend to be a little flaky, particularly prone to imposition of 'Jason' tabs.

    As far as the alignment of the numbers in the table of contents, that is controlled by the TOC1 style, and not the Heading1 style. What you'll need to do is go to Format > Style, select the TOC1 style, click on Modify, and play around with the tab settings for this style. Some trial and error will probably get you the effect you're looking for (although you won't be able to tell what effect without inserting a new TOC or, perhaps, doing a full update).

    I think I'm going to have to give up, because the right-alignment of the number at the start of each Table of Contents line appears to require a tab character preceding it. I can't find any way of producing this character...
