    No Printing and no downloading of information (2003)

    I have a situation that exists where I have developed a database that functions as a reporting tool( that is a flat table that I have used to develop a reporting form). This forms has 4 combo boxes and based on the choices picked in the combo box, returns information on 4 subforms on this main form. The problem is that this information is confidential to company and we don't want people who work for us to leave with this data. I have been told the only way I can release my database is to disable all printing functions and make it where the data can not be downloaded or accessed. I need to make where the information on the form is readable and can't be transferred anywhere else, Any help would be appreciated?

    Hi Benji

    Have you thought about the use of a front end for the user and a back end for the data. You can have the data stored on a server or PC's shared folder and then have a cut down front end with read only attributes and custom tool bars

    I assume that people who work for you have to sign some kind of contract that they will treat the data they encounter as confidential. You can protect data up to a certain level (Jezza has given some suggestions), but the only way to prevent people from using data in ways you don't want is not to let them see those data - ever. Even if you disable all printing and export capabilities in Access, users can still a) take a screenshot and print or e-mail it, [img]/forums/images/smilies/cool.gif[/img] write down data on a piece of paper, or c) memorize data. So don't let people you don't trust near sensitive data...

    They sign the agreements but in today's world that still doesn't stop some people from what is the right thing to do. How would one go about disabling of the printer function and exporting capabilities?

    In <post:=643,568>post 643,568</post:> I mentioned custom toolbars, you can create toolbars that do no have print button. You should have the database window closed in code and the main toolbars that allow exporting disabled. To stop screen dumping use this code in all forms

    Note this works on standard PC keyboards but not laptops, you will have to find the keyboard mappings for that.

    Create a custom toolbar and a custom menu bar for forms, and a custom toolbar and a custom menu bar for reports. There should be no print or export options in either of them.
    Set the Toolbar and Menu Bar properties of all forms and reports to the appropriate names.
    Access will automatically replace the built-in toolbar and menu bar with the specified custom ones when a form or report is opened.
    Select Tools | Startup...
    Make sure that you have specified a startup form.
    Clear all check boxes (except for Status Bar).
    Click OK.
    Next time you'll open the database, it'll open with the restrictions you indicated.
    To open the database without the restrictions, hold down the Shift key while opening the database. (You can disable this too, but then you'd have a problem too <img src=/S/grin.gif border=0 alt=grin width=15 height=15>)

    For serious protection, apply user-level security. See WendellB's tutorial The Secrets of Security. If you don't, deteremined users will be able to get at the data, for example by importing into Excel.

    you can alos make the Front End an MDE so there is no chance of creating their own query

    You cannot create or edit forms, reports and modules in an .mde database, but you *can* create and edit tables and queries.
