    Workflow SW?

    Hi All,

    I'm looking for some software to accomplish a task. I thought the category would be "workflow" (or "work flow") but googling the terms doesn't seem to bring up what I need.

    The task to be accomplished is as follows:

    Our organization receives tasks from a "sponsoring organization" that we may get assigned. Each task will need to be worked on by 1-5 groups in our organization. Each group needs to provide its estimate of how much time it thinks it needs to do the task. A group may determine that it does not need to contribute to the task. We then total up the "bids" and send the estimate back.

    If the sponsoring organization decides to give us the task, we will then need to track it. We want to track how much time each group actually uses. We also need to assign the task to actual people in each group and track completion dates. Most of the tasks will result in the groups working in serial fashion but some tasks allow our groups to work in parallel.

    That's the job I need for the software. Of course, the freer, the better.

    Have your tried searching for project management software? It's not something I've ever used but from how you describe your task I think that sounds like a better starting point for Google.

    Check out Project Home Page - Microsoft Office Online. It sure is NOT <img src=/S/free.gif border=0 alt=free width=30 height=15> but it is good and comprehensive.

    My experience is with Microsoft Project and even back at ver 4.0, when I first used it, it did an excellent job at keeping track of multi disciplinary groups cooperating on one goal with time and budget constraints. I have no experience with competing products and that's because Project did everything I needed from it. A least give it a look and see if it fits your needs.

    Thanks to all that replied.

    My needs are a little simpler than Project - it might be overkill (and over priced). I don't need to worry about successor tasks, critical paths, slack, etc. That's why I didn't do a search on that class of SW.

    I will see about the other suggestions.

    If you already have MS Excel, you can try searching their site for templates: http://office.microsoft.com/en-us/template...2115781033.aspx

    Then you can modify to suite your needs. Did this for a church organization tracking volunteer efforts many moons ago.

    I have used Excel for small projects with people who do not have existing software like project and other "stuff". I have found this Microsoft tutorial that you may want to look at

    Thanks again for the suggestions.

    I've checked out the MS Excel 2007 templates - they don't look like anything that would provide a good starting point.

    In thinking a little more about this, part of the problem is like a contractor keeping track of subcontractor bids. The contractor might bid on many projects. For each, he/she might need to subcontract out certain parts of the job and needs to keep track of the subcontractors' bids. If the contractor wins a job, then time and costs for each subcontractor has to be tracked, along with schedule. But I don't have to create Gantt charts. Tracking task completion is a small piece of this. At most, I have about 5 tasks for which I need to track completion dates; often they are worked in serial although 2 tasks may be worked in parallel. For each task, I may also want to assign people to them so I know who's working on what.
