    Mail Merge Error (WordXP)

    I am doing what should be a simple merge of Name, Table and City for Place Cards for a wedding. I am putting the Name and Table number (Col's 1 and 2 from an Excel Spreadsheet) on one side of the tent-card style placecard, and Name and City on the other side (Col's 1 and 3 from the same spreadsheet, but the next record: each person has two records, so I can just use <<nextrecord>>). When I try to do the merge into the text boxes which consitute the placecards, I get an error message "You Cannot include DATA, NEXT, NEXTIF or SKIPIF fields in comments, headers, footers, footnotes or endnotes. I keep slapping the monitor and yelling "I'm not!", but that hasn't done any good. Attached is the form I created for this. When printed, they can be cut and folded so the name and table number will face the guest, and the name and city will face the rest of the table. Thanks for any help you can give me. -Jim Conroy

    Hi Jim,

    You need to convert your text boxes to Frames. I believe this is the same for Word XP, right-click the text box and select Format/Text Box and on the Text Box tab select Convert to Frame.

    Also, you might need to right-click the Frame, select Format Frame and set the Text wrapping to None.

    The Insert/Frame command can be found on the Forms Toolbar. I added this to my Drawing toolbar by:
    - Displaying the Forms toolbar (right-click and toolbar)
    - Display the Drawing toolbar
    - Press <Alt Ctrl>, drag the Insert Frame command and drop it on the Drawing toolbar.

    Note that <Alt> allows you to move a command on a toolbar w/o needing the Customize dlg box open and <Ctrl> copies the command instead of moving it.

    You might want to verify the logic behind your {Next} fields. Once I converted them to Frames they seemed to move around and I couldn't follow what was happening. Also, I'm not sure why you used the {MergeRec} field. This returns the record number.

    Personally, I would just recreate the main document and use a 2X4 borderless Word table for this. You can set the Horizontal and Vertical alignment easier (you won't have to use the paragraph mark sized to a smaller font size trick <img src=/S/grin.gif border=0 alt=grin width=15 height=15>) and the position of everything will be easier to control.

    That would also solve where your {Next} field should be placed. You would only need to insert it after the City field in cells B1, D1, B2 or cell #'s 2, 4, 6.
